Gippsland Health Alliance is looking for Project Administration Officer to join our growing team on a full-time (1.0EFT) fixed term. However part-time and job share opportunities will be considered for the right candidate.
The Project Administration Officer plays a pivotal role in supporting the GHA Program Manager and projects leadership team to ensure the smooth coordination and delivery of strategic health technology initiatives across Gippsland. The position requires a proactive administrator with exceptional communication, organisational and problem-solving skills, and a strong ability to work in a dynamic, multi-stakeholder environment.

The role of the Project Administration Officer is:
- Deliver high-quality administrative support to GHA Program Manager and project teams, ensuring smooth coordination of project activities.
- Provide committee and executive support, including preparing agendas, taking minutes, monitoring action items and maintaining accurate records.
- Coordinate communication across multi stakeholders, ensuring professionalism and timely follow up.
- Prepare and format reports, correspondence and presentations to a professional standard.
- Maintain office systems and databases, including document control and project tracking.
- Support engagement activities, workshops and education sessions that contribute to project success.
About you
Ideal candidates for this role will have:
- At least 2 years’ experience in high-level administrative or executive support roles.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams & SharePoint).
- Excellent written and verbal communication skills with attention to detail and accuracy.
- Demonstrated ability to manage competing priorities and maintain confidentiality.
- A collaborative approach, with the ability to build relationships with diverse stakeholders.
- Experience in project management is highly desirable.
