Latrobe Regional Health is looking for Allocations Officer to join our growing team on a part time (0.8EFT) ongoing basis, working across a rotating roster between 5.30am and 9.30pm, Monday to Sunday.

 

The Allocations Officer plays a critical role in supporting workforce continuity across the organisation by coordinating supplementary staffing resources, including part time extra, pool, casual nurse bank and agency staff. Working closely with Nurse and Midwife Unit Managers, Clinicians in Charge and operational leaders, the role supports timely and accurate staffing decisions to meet short term service demands while maintaining compliance with organisational policies and systems.

The role of the Allocations Officer is to:

  • Act as a professional and consistent first point of contact for staff, stakeholders and external agencies.
  • Deliver a high quality, customer focused service through clear, timely and respectful communication.
  • Coordinate supplementary staffing to fill short notice vacancies across wards and departments.
  • Use workforce management systems, including Health e Workforce Solutions and Kronos, to match available staff to vacancies and accurately record worked shifts and unplanned leave.
  • Undertake forward planning activities by creating and managing shift requests
  • Work collaboratively with Nurse/Midwife Unit Managers and Clinicians in Charge to support safe and appropriate staffing mixes.
  • Liaise with nursing agencies in accordance with organisational guidelines and approved processes.
  • Maintain accurate workforce records, including pool and casual nurse bank details.
  • Support reporting, data accuracy and administrative processes within the Allocations Department.
  • Share knowledge and assist team members to support effective day to day operations in a fast-paced environment.

 

About you

Ideal candidates for this role will have:

  • Demonstrated ability to provide high quality customer service in a busy environment with competing priorities.
  • Well developed verbal and written communication skills, including the ability to communicate clearly with a wide range of stakeholders.
  • High attention to detail and strong organisational skills, with the ability to prioritise tasks and meet deadlines.
  • Proven ability to work calmly and effectively under pressure while exercising sound judgement.
  • Ability to work independently and collaboratively as part of a team.
  • Strong computer skills and the ability to accurately enter and maintain data across multiple systems.
  • Willingness to learn new systems, processes and workforce practices.
