Latrobe Regional Health is looking for Communications Administrative Coordinator to join our growing team on a part time (0.9EFT) ongoing basis.

 

The CommunicationsAdministrative Coordinator provides senior administrative leadership across Gippsland Private Consulting Suites, focusing on communication systems, referral management and service coordination. This role plays a critical part in ensuring efficient and professional interaction between clinicians, referrers, patients and internal departments. Reporting to the Business Manager, the position leads communication workflows, monitors service performance, supervises administrative staff and drives continuous improvement to support access, efficiency and delivery of strategic service objectives.

The role of the Communications Administrative Coordinator is to:

  • Lead communication processes across consulting suites, ensuring high standards of written, verbal and digital communication with internal and external stakeholders.
  • Oversee referral intake, allocation and access processes across multiple specialties, monitoring turnaround times and resolving delays.
  • Act as a key liaison for clinicians, referrers and service partners, managing complex enquiries and escalations in a timely manner.
  • Provide operational leadership, including supervision of administrative staff, workflow coordination and support for onboarding and staff development.
  • Monitor service performance through reporting and data analysis, producing KPI dashboards and providing insights to management.
  • Lead quality improvement initiatives, including process redesign, governance activities and compliance with organisational standards and privacy requirements.

 

About you

Ideal candidates for this role will have:

  • Demonstrated experience in senior administration, coordination or team leadership roles.
  • Strong ability to supervise staff, prioritise workloads and manage competing demands within tight timeframes.
  • Advanced computer literacy, with experience using reporting systems, Microsoft Office and healthcare administration platforms.
  • Well-developed analytical and problemsolving skills, with experience producing reports and monitoring performance indicators.
  • A proactive approach to continuous improvement, with the ability to implement process enhancements and support quality initiatives.
  • Experience in healthcare outpatient or consulting environments, relevant qualifications in administration or leadership, and knowledge of public health systems and patient access processes (desirable).
