Latrobe Regional Health (LRH) is looking for a Data Clerk / Receptionist to join our growing team on a permanent full-time basis.

 

About the Role

This is a vital role that ensures our clients receive a seamless, high-quality experience across screening, assessment, and follow-up services.

 

Working as part of the Medical Workforce Division, you will provide exceptional reception services, accurate data entry, image handling support, and administrative assistance to our multidisciplinary team. As a Data Clerk/Receptionist, you will contribute to the efficient and high-quality delivery of BreastScreen services by:

 

Reception & Client Support

  • Welcoming clients and ensuring all screening forms are complete.
  • Managing telephone enquiries and providing clear, empathetic communication.
  • Supporting Assessment Clinics with reception and client coordination.
  • Maintaining an orderly reception area and ensuring documentation is well-stocked.

 

Data Entry & Quality Assurance

  • Entering client information into BreastScreen Victoria systems (e.g. Gecko, PACS).
  • Ensuring compliance with National Accreditation Standards.
  • Conducting quality assurance activities and reporting outcomes to the Data Manager.
  • Generating and distributing client results letters.

 

Administrative Support

  • Producing medical correspondence via Dictaphone for Surgeons and Radiologists.
  • Providing administrative support to Radiologists, Surgeons, Nurses, the Clinical Director, Chief Radiographer, Program Manager and Data Manager.
  • Preparing “What happened today?” pamphlets for clients.
  • Supporting MDT meetings and coordinating with the LRH Site Coordinator.

 

Image Handling

  • Preparing digital images for reading in line with BreastScreen protocols.
  • Assisting with complex image hanging and printing for clients with a positive diagnosis.
  • Liaising with external imaging providers and other BreastScreen services to retrieve prior images.

 

Quality & Team Activities

  • Participating in workflow reviews and contributing to quality improvement initiatives.
  • Supporting electronic records projects and updates to policy and procedure manuals.
  • Participating in staff meetings, training, and professional development.

 

Other Duties

  • Sorting and distributing mail and departmental items.
  • Monitoring reading status and providing reports.
  • Supporting office management and undertaking duties directed by the Program Manager or Data Manager.

Key Selection Criteria

 

Essential

  • Experience using databases or health records systems, including Microsoft 365.
  • Previous experience working with client records and filing systems.
  • Reception experience with high personal and telephone contact.
  • Strong attention to detail and organisational skills.
  • Excellent interpersonal and communication skills.
  • Commitment to client privacy and confidentiality.
  • Demonstrated interest in women’s health.
  • Flexibility to work additional hours during busy periods (e.g., Mobile Screening Service).

 

Desirable

  • Experience in a quality assurance environment.
  • Audio/Dictaphone typing experience.
  • Strong English spelling and comprehension.
