Latrobe Regional Health is looking for Health Information Clerk to join our growing team on a part time (0.4EFT) fixed term basis until June 2027.

 

The Health Information Clerk provides efficient, accurate and customer-focused clerical, reception and records management support within the Health Information Unit (HIU) at LRH. The role supports the secure storage, retrieval and management of medical records, both electronic and paper-based, ensuring compliance with legislative, privacy and medico-legal requirements. Working as part of a dedicated team, the Health Information Clerk plays an important role in maintaining high-quality health information services that support safe patient care, operational efficiency and organisational governance.

The role of the Health Information Clerk is to:

  • Provide reception and administrative support to the Health Information Unit, responding to telephone and information requests in a timely, professional and courteous manner.
  • Accurately enter and manage patient information within HealthSmart iPM and Altera Electronic Medical Record, including allocation of Medical Record Numbers (MRNs).
  • Create, scan, collate, file, store and retrieve medical records using terminal digital filing processes, ensuring accuracy and attention to detail.
  • Retrieve medical records for wards, units, admissions, audits and medico-legal requests, including accessing secondary archive storage when required.
  • Assist with the retention and destruction of medical and departmental records in accordance with Public Record Office Victoria (PROV) guidelines and LRH policies.
  • Contribute positively to the Health Information Unit through teamwork, training and orientation of new staff, participation in meetings, and continuous review and improvement of work practices.

 

About you

Ideal candidates for this role will have:

  • High respect for confidentiality, privacy and legislative requirements relating to health records and information management.
  • Competence using Microsoft Office and patient or client information systems, with strong data-entry skills and attention to detail.
  • Ability to work with minimal supervision in a busy environment, manage competing demands and prioritise tasks effectively.
  • Strong organisational skills, excellent telephone manner and a responsive, customer-focused approach.
  • An administrative qualification (e.g. Certificate III in Health Administration), and experience with medical records, scanning, HealthSmart iPM or terminal digit filling (desirable).
