About the Role

An exciting opportunity exists for a Medical Workforce Administration Assistant on a part time or full time ongoing basis. Hours can be negotiated with the successful applicant.

 

The Medical Workforce Administration Assistant provides essential administrative and coordination support to the Medical Workforce Unit. Working closely with the Medical Workforce Unit Manager and broader team, this role contributes to the delivery of end-to-end medical workforce recruitment, rostering and administration services for junior and senior medical staff. The position supports day-to-day unit operations through accurate data management, roster administration, compliance support and stakeholder liaison, ensuring medical workforce processes are efficient, compliant and responsive to organisational needs.

 

The role of the Medical Workforce Administration Assistant is to:

  • Support the smooth operation of the Medical Workforce Unit through general administrative duties, data entry and record management across databases and spreadsheets.
  • Assist with preparation, administration and distribution of junior and senior medical staff rosters, including advertising and coordinating of locum shifts.
  • Provide administrative support for medical workforce systems, including Kronos, provider/prescriber databases and CME processing activities.
  • Assist with workforce coordination activities such as accommodation arrangements, invoice validation, orientation programs and registration documentation.
  • Support compliance processes by assisting with AHPRA registration checks, maintaining adherence to relevant standards, legislation and policies.
  • Contribute to positive, inclusive team environment by supporting colleagues, responding to ad-hoc requests and promoting diversity and respectful workplace culture.

 

About You

The ideal candidate for this role will have:

  • Proven experience in an administrative or organisational support role, with the ability to manage competing priorities effectively.
  • Excellent organisational, time-management and problem-solving skills, with high attention to detail and accuracy.
  • Confidence using Microsoft Office applications and the ability to quickly learn new systems and processes.
  • Strong interpersonal skills and the ability to liaise confidently with staff at all levels of the organisation.
  • Flexibility and adaptability to respond to changing workforce demand and priorities.
