Position Description
The Yarram Medical Centre (YMC) Administration Officer will ensure a high standard of care and accurate service to all clients of YMC and YDHS. They will deliver reception and administrative support to clients, general practitioners, and contractors. The Administration Officer will ensure all documentation is accurate and meets the requirements of both Legislation and good practice.
Responsibilities
Administrative:
- Carry out day-to-day operations of the YMC desk including booking appointments.
- Answer the telephone in a courteous and professional manner.
- Receive and convey messages in writing, verbally and electronically.
- General office duties such as word processing, data entry, patient account management, scanning, filling, stationary orders, and processing of daily mail.
- Liaise with patients and their families in a compassionate manner.
- Liaise with GPs, other health professionals.
- To develop and maintain cooperative relationships with staff, GP’s, and contractors within YDHS, maintaining open lines of communication including an awareness of the availability of the range of services.
- To participate in quality improving activities such as audits and surveys as required under the RACGP Standards for General Practices.
- Participate in ongoing professional development and YDHS annual mandatory training.
- Contribute equitably to maintaining the cleanliness of the YMC.
- Ensure the practice building and rooms are clean, tidy, and accessible.
- Perform other duties as directed by the Practice Manager or Director Corporate Services.
Safety, quality, and care:
- Participate in the practice risk management and quality improvement processes.
- Record incidents and near misses in line with practice policy.
- Exercise duty of care including meeting practice standards and accountability.
- Always maintain patient and practice confidentiality.
- Ensure the practice building and workspaces are conducive to a safe and practical work environment.
- Work to clinical governance processes and standards.
- Actively contribute to the development of a culture consistent with the values of the practice.
Key Selection Criteria
Mandatory:
- The ability to maintain a high level of professionalism and confidentiality.
- Strong computer literacy.
- Excellent communication skills, written and verbal.
- The ability to work independently, show initiative and work productively within a team environment and the ability to communicate with a range of people.
Desirable:
- Previous experience in a medical reception or similar administrative position.
- Previous experience in the use of Best Practice Medical Software.
- Working knowledge of Windows-based software systems (e.g., Word and Excel).
- An understanding of the Medicare Benefits Schedule.
- An understanding of medical terminology, medical and allied health professional organisations and relevant stakeholders.
- An understanding or experience in General Practice Accreditation and Standards.

Relevant information
YDHS is responsible for employing and contracting applicants who meet stringent community and public and public sector expectations. Applicants shall be required to provide and maintain:
- An original National Police Record Check completed within the last twelve (12) months prior to commencement.
- An employee Working with Children Check.
- A NDIS Worker Screening Check.
- Relevant professional registrations.
- Complete a Pre-existing injury declaration form.
- Undergo any other relevant checks, education or licencing as directed at own cost.
