We are seeking an organised, detail-focused administration professional to join us as an Administration Support Officer. In this role you will be supporting the Quality team by providing high level administration support.

Day to day, this is a coordination and document-control role. You will maintain version-controlled documents, keep registers and records up to date, coordinate meetings and review cycles, format and proofread a range of materials, and help the team stay on top of deadlines. In addition to this, you will also provide support to our quality assurance and improvement systems. Full training will be provided in our quality systems and the healthcare context, so you can bring administrative expertise from any industry.

We are looking for someone who enjoys bringing order to a busy workload and communicating clearly with people across the organisation. Experience in administration, scheduling or coordination is what matters most – prior experience in healthcare is welcome but not required, as full training and support will be provided.

 

Responsibilities

  • Maintain the organisation’s document management systems, ensuring policies, procedures and forms are version-controlled, current, and easy to locate.
  • Coordinate document review cycles – tracking due dates, formatting and proofreading documents, and following up with authors to keep everything on schedule.
  • Provide scheduling and administrative support for meetings, audits and accreditation activities, including preparing agendas, papers and pre-audit documentation.
  • Maintain accurate registers, records and databases, and administer the quality, risk and learning management systems (full training provided).
  • Collate information and prepare clear, well-presented reports, spreadsheets and correspondence for a range of audiences.
  • Coordinate communications and education activities for staff, including preparing resources, maintaining records, and managing distribution.
  • Provide day-to-day administrative support to the Quality team, and assist with projects and additional tasks as required.
  • Bring initiative to improving administrative processes, systems and ways of working.
  • Work collaboratively across all directorates to achieve organisational goals.
  • Uphold our values in all interactions.
  • Ensure high-quality service delivery by adhering to all relevant legislation, policies, protocols, and standards.
  • Contribute to a safe workplace for all staff and consumers.
  • Actively participate in performance review and professional development activities.
  • Complete all mandatory and relevant training.

Key Selection Criteria

Mandatory:

  • Demonstrated experience in an administration, coordination or scheduling role.
  • Excellent organisational and time-management skills, with the ability to manage competing priorities and meet deadlines.
  • High level of attention to detail and accuracy, particularly in document preparation and record-keeping.
  • Experience preparing, formatting and proofreading documents to a professional standard.
  • Strong written and verbal communication skills, with the ability to liaise confidently across all levels of an organisation.
  • Advanced computer skills, including proficiency in Microsoft Office and the ability to learn new software and systems.
  • Experience maintaining records, registers or databases, with a strong focus on accuracy and version control.
  • Ability to prepare clear, concise and audience-appropriate reports and correspondence.
  • A proactive, solutions-focused approach and the initiative to improve administrative processes.
  • Ability to work both independently and as part of a small team.
  • Willingness to learn about quality, risk and continuous improvement in a healthcare setting (no prior experience required).

Desirable (while these criteria will be considered, full training will be offered to the successful candidate):

  • Experience in document control, records management or a similar function.
  • Experience providing administrative support in a health, aged care, community services or other regulated environment.
  • Experience coordinating meetings, committees or review cycles, including preparing agendas, minutes and papers.
  • Knowledge of, or interest in, quality improvement, accreditation or governance processes.

  • An original National Police Record Check completed within the last twelve (12) months prior to commencement.
  • An employee Working with Children Check.
  • A NDIS Worker Screening Check.
  • Relevant professional registrations.
  • Complete a Pre-existing injury declaration form.
  • Undergo any other relevant checks, education or licencing as directed at own cost.
