About the Role
The role will work collaboratively to provide administrative, reception and clerical support services to the Wilson Lodge team. Whilst at the same time provide a customer focused quality service to staff, patients and other external customers within the health service.
The Administration Assistant works in a team environment and in a collaborative manner that requires the incumbent to interact effectively within Wilson Lodge. The role is often the first point of contact for visitors and staff and supports the workload across a number of areas of responsibility.
Duties
- Arrange staffing and replacement of staff on leave as directed by nurse in charge to ensure optimum utilisation of staffing resources.
- Prepare electronic rosters as provided by roster coordinator and distribute as required
- Format, print and distribute rosters for staff in all areas as directed by supervisor.
- Submit electronic roster, staff meal lists and timesheets to payroll each fortnight once authorised by the supervisor. Attend to any changes by informing payroll in a timely manner.
- Communicate effectively with Centrelink, Medicare and Department of Veterans Affairs to ensure accuracy of information required for residential aged care billing and contracts.
- Entry and maintenance of aged care bed waiting list using Manad to enable timely aged care entry as directed by supervisor.
Qualifications, Skills and Experience
Preferred:
- Certificate III or higher in Business Administration or preparedness to undertake these qualifications
- Current Victorian Driver’s License
Mandatory:
- A Police Record Check regarding any criminal record will be required prior to finalisation of the appointment and updated every three (3) years.
- A current Working with Children check may be required for this role.
- You are required to comply the Employee Health Screening and Immunisation Policy, which, depending on the role you perform in the organisation will require you to provide evidence of mandatory immunisations/vaccinations (including COVID-19 vaccinations) prior to commencing employment, and continue participate in on-going immunisation programs.
