Patient Services Administration Assistant (Fixed Term part time from November 2026 to January 31st 2027)

We are looking for a highly motivated individual with excellent communication and interpersonal skills with a willingness to learn. The position is 64 hours per fortnight where you will be supported to learn admissions and waitlisting during your fixed tenure.

CGH provides acute care as part of an integrated service delivery model across Wellington Shire and beyond. The service provides beds across three campuses (Sale, Maffra and Heyfield). Acute services include a full-time emergency department, critical care unit, neonatal critical care unit, three operating theatres, day procedure unit, oncology and dialysis services in addition to general medical and services and sub-acute services including rehabilitation.
CGH is also a leading teaching hospital, affiliated with Monash University's School of Rural Health and provides placements and clinical experience for students.
About Department
Patient Services: Provides patients and the community with access to Admissions, Preadmission Clinic, Pre Anaesthetic Clinics, Acute Admissions, Cardiology Department, Wound/Stomal Therapist, Planned Surgery Preparation Lists and Elective Bookings.
About the Role
As a Patient Services Clerk, you will deliver customer-focused care and handle reception duties, including patient registration, admission, data entry and booking for planned surgical procedures. You will also ensure compliance with FOI legislation and the patient privacy policy at Sale Hospital regarding patient data.
Key Responsibilities:
- Performing data entry into iPM (Integrated Process Data Management)
- Identifying and registering patients
- Conducting private health insurance checks
- Admitting patients using iPM
- Liaising with the planned surgery access officer, nursing staff, and medical staff
- Auditing data and collaborating closely with the clinical teams for patient services
- Meeting and greeting patients, staff, doctors, and all visitors in a professional and courteous manner as the first point of contact for patient services
- Providing pre-admission, admission, preparation list, and booking services
- Ensuring smooth preparation of planned admission and surgery lists, including handling cancellations/additions and liaising with doctors, other administration and clerical staff, and the pre-admission and preparation list management team
- Maintaining accurate patient and staff details in the patient management system
- Entering correct patient details and surgical codes relevant to patient management systems
- Participating in process improvements and collaborating with other team members
Qualifications, Skills and Experience
- Demonstrated excellence in customer service with outstanding interpersonal and communication skills
- Professional presentation, style and manner
- Strong MS Office Suite skills using Word, Excel, Outlook; including monitoring multiple emails
- Meticulous attention to detail when handling patient data with high levels of accuracy
- Demonstrated ability to work independently, flexibly and cooperatively as part of a team
- Team player, self-directed and motivated with highly developed time management and organisational skills and the ability to prioritise tasks, be responsive and meet deadlines in a busy, changing and demanding environment
